Event Vendor Terms, Policies, & Event Day Info

Quick Event Day Reminders (am events)

  • 7:00 a.m. – Vendor setup begins. Arrive early enough to unload, move vehicle to the lot, and be public-ready by 9:30am.
  • Vendor drop offs are now happening at the curb for all except food vendors.
  • 9:15 a.m. – All vendor vehicles must be parked in designated parking. NO STREET PARKING.
  • 9:30 a.m. – Gates open for members. All booths must be fully set up and public-ready.
  • 10:00 a.m. – Gates open to general public.
  • 2:00 p.m. – Event ends. Please do not tear down before 2 PM.

Important Reminders

  • We have extremely limited parking for our events, therefore, we need the street parking for your customers.
  • It is important to late coming guests that vendors do not begin teardown of booths until the event’s end time.
  • Watch your email and texts for updates leading up to the event.

Week of the Event

Plan Ahead

  • Please plan to provide a fun hands-on activity relevant to the event’s theme OR hand out candy to children at your booth. (Or both!)
  • We encourage you to decorate your booth (and yourself! Costumes encouraged!) with the theme of the event:
    • EggFest = Spring theme
    • Tricks & Treats =  Halloween (nothing scary) and fall theme
  • This is an outdoor event, and we do not provide shade tents. Please plan to bring your own.
  • We do not provide tables & chairs. Please plan to bring your own.
  • We no longer allow vehicles to drive onto the property (except food trucks). Please plan accordingly. Volunteers & staff will be on hand to help you unload.

Day of the Event

  • As incentive to booth decorating: We will be running a booth decorating contest at each event! Guests vote on their favorites, making this a fun way to stand out and engage families. The winner will receive a free booth at a future event!
  • All booths must be ready for guests by the time we open the gates for members. (9:30 am for 10 am events).
  • FDC does not guarantee sales or event attendance. An estimated attendance number based on previous events may be shared, but it is not a guarantee.

Communication

Emails

  • Email is our primary mode of communication with our vendors and it is crucial that you don’t miss any essential information.  Please add our email (FDCevents@fresnodiscoverycenter.org) to your contacts and check your email often as the event gets closer. 
  • If you have not received any emails from us by the week before the event, please check your spam/junk folder. If you still do not have any emails from us, please email us ASAP, as we may not be expecting you.

Texts

  • We will occasionally text to notify you of important info or emails.
  • PLEASE NOTE that this texting system is NOT sent from a mobile device and your text responses will not be seen unless we are sitting at a computer. 
  • Texts will only be checked regularly prior to the week before the event. 
  • From the week before through the actual event we ask that you contact us ONLY via email, as that is the only way we can reliably receive your info during last minute event prep.

Payments, Refunds, & Cancellations

  • Payment is processed immediately upon submission of the form and will hold your place. If we decide your business is not a good fit for our event, we will notify you and refund the full amount. 
  • If you need to cancel:  Email us your cancellation at least 30 days before the event. 
  • Cancellations that happen less than 30 days prior to the event must also notify FDC via our event email, but will not receive a refund.
